TERMS AND CONDITIONS – CONIFERIS RETREAT

Please read these Terms and Conditions carefully before making a reservation on our website www.coniferis.com. By accessing and using this site, making a reservation (directly or through third-party platforms), and staying at our facilities, you expressly agree to these terms.

1. COMPANY IDENTIFICATION AND RESERVATION DETAILS

Payment: We accept bank cards, bank transfers, and vacation vouchers.
Reservations can be made:
- directly on the website www.coniferis.com
- through third-party platforms

The reservation is considered valid only after receiving written confirmation (email or SMS) and payment of the advance/full amount, as applicable.

Failure to pay the balance by the arrival date gives us the right to refuse accommodation without refunding the amounts paid.

2. CHECK-IN / CHECK-OUT, VISITORS AND CAPACITY

Check-in: from 15:00 | Check-out: until 11:00.
Early departure: Guests leaving before the established date do not receive a refund for unused nights.
Capacity: It is strictly prohibited to exceed the number of persons declared at the time of reservation without the prior consent of the hosts.
Visitors: Access for persons not accommodated in the unit is prohibited without the prior consent of the host. Accepted visitors must leave the premises before 22:00.

3. CANCELLATION AND MODIFICATION POLICY

Cancellation: Reservations can be canceled or rescheduled free of charge at least 30 calendar days before the check-in date. For cancellations made less than 30 days before, the paid amount is not refunded.
No-show: In case of non-arrival, the full amount is retained as a penalty.

4. TECHNICAL ERRORS AND DOUBLE BOOKINGS (OVERBOOKING)

Double bookings: In the case of a double booking caused by technical synchronization errors between platforms, the “first come, first served” principle applies. The guest whose reservation is canceled will be offered the option of rescheduling or full refund of the amount, without other compensation.
Price errors: We reserve the right to cancel reservations affected by obvious price errors, offering the option to confirm at the correct price or cancellation without penalties.

5. SUPERVISION OF MINORS

Responsibility: Supervision of children is the sole responsibility of parents/companions. The location contains stairs, fragile decorations, natural terrain, etc.
Risk areas: Children must be constantly monitored in the jacuzzi area, elevated terraces, barbecue area, and throughout the resort. CONIFERIS RETREAT S.R.L. is not responsible for accidents resulting from lack of supervision.

6. PET-FRIENDLY POLICY

Access for animals is permitted only in dedicated units, with the following rules:

Guests are required to immediately collect physiological waste from the location perimeter.
Animals cannot be left unsupervised in the unit. Any damage will be charged at replacement/professional cleaning cost.
Pet cleaning fee 100 RON / stay

7. USE OF JACUZZI AND FACILITIES

Jacuzzi: Use at your own risk. Shower is mandatory before use. Use under the influence of alcohol/drugs and use of glass objects in the area are prohibited. Safety: Children must be constantly supervised by an adult during use. Caution: the perimeter area and steps may become slippery upon exit; please step with maximum caution to avoid falls/injuries.
Extreme temperatures: During periods with outdoor temperatures below -8°C, optimal jacuzzi operation is not guaranteed. In case of non-operation for this reason, the guest receives a refund of 200 RON / stay, without other compensation.
Septic tank: It is strictly prohibited to throw wet wipes, feminine hygiene products, or food residues into the toilet. Any blockage will be charged to the guest.

8. FIRE, BARBECUE AND CANDLES

Barbecues: May be used only in specially designated areas and with constant supervision.
Candles and Scented Sticks: Their use indoors is permitted exclusively with maximum caution. It is strictly prohibited to leave them unsupervised, place them directly on wooden surfaces without a non-flammable support, or near textile materials (curtains, bedding).
Restrictions: Use of fireworks or campfires is permitted only outdoors and only with the prior approval of the host.
Safety: Complete extinguishing of the fire/embers after use is mandatory.

Failure to comply with safety rules entails full financial liability for any damage caused.

9. SAFETY AND FIRE PREVENTION

Equipment: All cabins are equipped with smoke detectors, fire extinguisher, and first aid kit. Please locate this equipment upon check-in.
Textile Materials Rule: It is strictly prohibited to leave towels, pillows, clothes, or other textile items directly on the floor (underfloor heating) or on any other heating bodies (radiators, convectors, etc.). These can create a high risk of ignition through overheating.
External Appliances: Use of air heaters or high-power appliances brought by guests is permitted only with the hosts’ consent and at your own risk.
Procedure in case of alarm: In case of burning smell, short circuit, or smoke detector alert, leave the cabin immediately.
Procedure in case of fire:
1. Call immediately the single emergency number 112.
2. Immediately notify the hosts at the phone number displayed in the unit.
3. Attempt to extinguish the fire with the extinguisher provided only if it does not endanger your life.
Storm: During periods of extreme weather phenomena, use of the barbecue or jacuzzi is strictly prohibited. Guests are required to close all doors and windows and retract terrace awnings to prevent their destruction.

10. CLEANLINESS, SMOKING AND CONDUCT

Smoking: Strictly prohibited indoors including electronic cigarettes. Non-compliance incurs a cleaning fee of 1,000 RON.
Prohibited substances: Consumption of drugs, possession of weapons or explosive materials (including fireworks/firecrackers) are strictly prohibited.
Kitchen: Guests are asked to leave the dishes washed and the kitchen in reasonable condition.
Special cleaning fee: If at check-out the unit requires cleaning efforts exceeding the standard protocol (e.g., difficult stains on textiles/walls, scattered waste, non-compliance with common sense rules), an additional fee between 300 and 1,000 RON will be charged.
Furniture: Moving heavy furniture is prohibited.
Removal of indoor items (blankets, chairs) to terraces is permitted only on condition that they are returned to their place after use and not left outside overnight.
Quiet hours: Mandatory interval: 22:00 – 08:00. Aggressive or antisocial behavior leads to immediate evacuation without refund.
Coniferis Retreat promotes peace and connection with nature. Use of high-power portable speakers outdoors is prohibited. Outdoor music is permitted only at a moderate volume that does not disturb guests in other units or neighbors.
Drones: Drone flights are permitted only with the hosts’ consent, respecting the privacy of other guests.
Purpose of Reservation: The destination is exclusively touristic. Commercial filming or professional photo sessions require a separate contract and additional fees.

11. PROPERTY PROTECTION AND SECURITY

Lost items: We assume no responsibility for lost/stolen items. Forgotten items are kept for 30 days (shipping by courier is at recipient’s expense).
Damage discovered later: We reserve the right to charge for damages discovered within 48 hours of check-out (even if identified after departure).
CCTV: Outdoor areas are video monitored for the safety of guests and property.
Right of Access: The host reserves the right to enter the accommodation unit, even in the absence of guests, in cases of technical emergency to prevent damage to the property (e.g., flooding, windows left open during storm, fire risk).

12. UTILITIES, WI-FI AND SIGNAL

Utilities: We are not responsible for interruptions caused by external providers (water, electricity). These do not entitle to refunds.
Internet/Wi-Fi: In a mountainous area, the signal may be fluctuating. Given that we are a mountain resort, complaints about internet speed or stability do not constitute grounds for compensation, rate reductions, or other financial claims. We do not guarantee internet access with a speed greater than 1MB/s.
Use of internet for illegal activities is strictly prohibited, legal liability resting exclusively with the guest.
Electric vehicles: Charging at standard outlets is permitted only with the hosts’ consent (additional fees apply).

13. ACCESS IN WINTER CONDITIONS AND PARKING

Equipment: During the winter period, guests are required to properly equip their vehicles (winter tires, chains).
Liability: Coniferis Retreat assumes no responsibility for guests’ inability to reach or leave the location due to lack of proper vehicle equipment. However, the administration makes every effort necessary to keep access roads cleared and passable as much as possible, depending on weather severity.

14. DEPARTURE PROCEDURE (CHECK-OUT)

When leaving the house (for a longer period or at check-out), guests have the following obligations:

Safety: Do not leave anything on the floor/heating bodies. Turn off the water, turn off the lights.
Securing: Windows closed, door locked, key in keybox.
Waste: Gather trash and take it to the main bin in the parking area.
Terrace: Outdoor pillows placed in the storage box; awnings retracted.

15. MEDIA CONSENT AND REVIEWS

Public reviews (Booking, Airbnb, Google) may be used by us for promotional purposes. Commercial photography/filming requires written consent.

16. RIGHT OF REFUSAL

We reserve the right to refuse accommodation or to interrupt the stay of any guest who seriously violates this regulation, without refunding the amounts paid.

17. FORCE MAJEURE AND DISPUTES

We are not responsible for failure to perform obligations in case of force majeure (calamities, fires, road blockages). Guests assume the risks specific to the natural environment (uneven terrain).
Applicable law: These terms are governed by Romanian law.

18. ACCEPTANCE

By making a reservation, the guest confirms that they have read, understood, and fully accepted these Terms and Conditions.
